- Every journal and university has a required citation style. Submitting with the wrong format is one of the easiest ways to get a desk rejection or a revision request.
- There are two types of in-text citations: parenthetical (author and year in brackets at the end of a sentence) and narrative (author name woven into the sentence itself). Most styles use one or both.
- The six most common citation styles in academic research are APA, IEEE, Harvard, Chicago, MLA, and Vancouver. Each has specific rules for in-text citations, reference lists, and formatting details.
- Your reference list and your in-text citations must match exactly. Every citation in the text needs a corresponding entry in the reference list, and every reference list entry needs at least one in-text citation.
- Citation management software like Mendeley, Zotero, and EndNote saves hours of manual formatting and reduces errors. But you still need to check the output because auto-generated citations are not always correct.
- PM Proofreading’s citations and references adjustment service formats your in-text citations and reference list to match any journal or university style requirement.
I once spent an entire Sunday reformatting 87 references from APA to IEEE because a journal rejected my manuscript and I was resubmitting to a different journal with a different citation style. Eighty-seven references. By hand. Because I did not use citation management software at the time, and the new journal used numbered references instead of author-year.
That was a painful lesson. But the bigger lesson came a few months later when a colleague submitted a paper with three in-text citations that had no matching entry in the reference list. The editor sent it back before it even reached review. Three missing references. Weeks of delay.
Citations and references feel like the boring part of academic writing. They are. But they are also the part that journals check first, examiners cross-reference carefully, and reviewers complain about when they are wrong. Getting them right is not optional. It is a basic requirement for publication.
This guide covers everything you need to know about academic citations and references: the major citation styles, how they work, the difference between parenthetical and narrative citations, how to format your reference list, and which software tools make the whole process less painful.
Let me clarify the terminology first, because people use these words loosely and that causes confusion.
(Smith & Johnson, 2023).
APA(미국심리학회)
Reference list entry for a 학술 논문:
Smith, J. D., & Johnson, L. M. (2023). The relationship between income and educational outcomes. Journal of Education Research, 45(2), 112-130. https://doi.org/10.xxxx/xxxxx
Key APA formatting rules: the reference list is titled “References” (not “Bibliography”). Authors are listed by last name and initials. The journal name and volume number are italicized. Only the first word of the article title is capitalized (sentence case). A DOI is included when available. The reference list is alphabetized by the first author’s last name. Hanging indent is required for each entry.
IEEE (Institute of Electrical and Electronics Engineers)
IEEE is the standard in engineering, computer science, electrical engineering, and information technology.
In-text citation: [1] or [1], [3] or [1]-[4]
Reference list entry for a journal article:
[1] J. D. Smith and L. M. Johnson, “The relationship between income and educational outcomes,” J. Educ. Res., vol. 45, no. 2, pp. 112-130, Feb. 2023, doi: 10.xxxx/xxxxx.
Key IEEE formatting rules: in-text citations are numbered in square brackets in the order they first appear in the text. The reference list is numbered, not alphabetized. Author names use initials before the last name (J. D. Smith, not Smith, J. D.). Journal names are abbreviated according to IEEE standard abbreviations. The article title is in quotation marks with sentence case. The journal name is italicized.
Harvard
Harvard referencing is widely used in the UK, Australia, and parts of Europe across many disciplines. It is an author-date system similar to APA but with some formatting differences.
(Smith and Johnson, 2023)
Reference list entry for a journal article:
Smith, J.D. and Johnson, L.M. (2023) ‘The relationship between income and educational outcomes’, Journal of Education Research, 45(2), pp. 112-130. doi: 10.xxxx/xxxxx.
Key Harvard formatting rules: the reference list is titled “Reference List” or “References.” There is no standardized Harvard manual like APA has, so conventions vary between universities. The most common differences from APA are: “and” instead of “&” between author names, the article title in single quotation marks, and “pp.” before page numbers. Always check your specific university’s Harvard guide because implementations differ.
Chicago (Author-Date and Notes-Bibliography)
Chicago has two systems. The author-date system is used in the sciences and social sciences. The notes-bibliography system is used in the humanities, history, and arts.
Author-date in-text citation: (Smith and Johnson 2023) (note: no comma before the year)
Notes-bibliography in-text citation: A superscript footnote number1 that links to a footnote at the bottom of the page with full source details.
Author-date reference list entry:
Journal of Education Research 45(2): 112-130. https://doi.org/10.xxxx/xxxxx.
MLA (Modern Language Association)
Journal of Education Research, 제45권 제2호, 2023년, 112-130쪽.
Vancouver
In-text citation:
Reference list entry for a journal article:
1. Smith JD, Johnson LM. J Educ Res. 2023;45(2):112-130. doi: 10.xxxx/xxxxx.
How to Choose the Right Citation Style for Your Paper
The Reference List: What Goes in It and How to Format It
You cite (Smith, 2023) in the text but there is no Smith 2023 in the reference list. This happens most often when you delete a paragraph during revision but forget to remove the citation, or when you add a citation but forget to add the reference.
Orphan entries. A source appears in your reference list but is never cited in the text. This suggests either sloppy referencing or padding the reference list to look well-read. Reviewers notice.
Incorrect formatting. Author names in the wrong order. Missing italics on journal names. Wrong capitalization on titles. Missing DOIs. Wrong punctuation. These seem minor, but they accumulate across 50 or 100 references, and they signal carelessness to the reviewer.
Inconsistent style. Some references formatted in APA, others in Harvard, others in something unrecognizable. This happens when you copy references from different sources without standardizing them. It is one of the most common formatting problems in submitted manuscripts.
Citation Management Software: Mendeley, Zotero, EndNote, and Others
If you are manually typing and formatting every reference in your manuscript, you are wasting hours of your life. Citation management software exists to solve this problem. It stores your references, generates in-text citations, and auto-formats your reference list in whatever style you need.
Mendeley
Mendeley is free, integrates with Microsoft Word, and has a large user base in academia. You can import references directly from journal databases, PDFs, and websites. It generates in-text citations and reference lists automatically using a plugin for Word. It supports thousands of citation styles and you can switch between them with a few clicks. The main drawback is that the Word plugin can be slow with very large reference libraries and occasionally produces formatting errors that need manual correction.
Zotero
Zotero is also free and open-source. It works as a browser extension that captures reference information from journal websites, library databases, and even Amazon book pages. It integrates with Word and Google Docs. Zotero is popular among humanities and social science researchers, and its community maintains a massive library of citation styles. It handles footnotes and endnotes well, which makes it a strong choice for Chicago notes-bibliography users.
EndNote
EndNote is a paid tool, though many universities provide institutional licences. It is the most established citation manager and is particularly strong for researchers working with very large reference libraries (500+ references). It integrates with Word and has powerful search and organization features. The learning curve is steeper than Mendeley or Zotero, and the licensing cost is a drawback for students without institutional access.
Other tools
RefWorks is a web-based alternative often provided by university libraries. Citavi is popular in German-speaking countries and includes knowledge management features alongside citation management. Papers (now part of ReadCube) integrates reference management with PDF reading and annotation.
Which one should you use? If cost matters, start with Mendeley or Zotero. Both are free and handle the vast majority of academic citation needs. If your university provides EndNote, use that. The specific tool matters less than the habit of using one consistently from the start of your research.
One important warning: never blindly trust auto-generated citations. Every citation management tool occasionally produces errors. A missing page number. A wrong publication year. An author name formatted incorrectly. Always review your reference list manually before submission. The software does 90% of the work. The last 10% is your responsibility.
Common Citation Mistakes That Lead to Journal Rejection
These are the citation errors that come up most often in reviewer feedback and editorial desk rejections.
Wrong citation style. Submitting with APA formatting to a journal that requires IEEE. This gets your paper sent back immediately. Always check the author guidelines before formatting.
Inconsistent formatting within the same paper. Half the references use one style, half use another. This usually happens when you compile references from multiple sources without standardizing them.
Missing DOIs. Most journals now require DOIs for all references that have them. Omitting DOIs makes it harder for readers to find the original sources and signals that you did not format your references carefully.
Et al. misuse. In APA 7th edition, use “et al.” for three or more authors from the first citation. In APA 6th edition (still used by some journals), the rule was different. In IEEE, “et al.” is used for seven or more authors. Getting the threshold wrong for your style is a common error.
(Smith, 2020, as cited in Johnson, 2023)와 같이 2차 자료로 인용해야 합니다.
When to Get Professional Help with Citations and References
